Project Managers & Senior Project Managers

Patvocates is a Germany-based, patient-driven, not-only-for-profit consultancy, acting in the triangle of patient advocacy, health policy and medicines research and development. It is a social enterprise that also donates a proportion of its revenue to capacity building and education initiatives of the patient community.

We are looking for engaged Project Managers and Senior Project Managers to drive forward our exciting projects in patient engagement and patient advocacy.

  • Full time / permanent.
  • Working language is English.
  • Travel up to 30 days a year.
  • Home-based in Spain. (Belgium, Germany, The Netherlands also possible for the right candidate).
  • Gross salary: 40,000-45,000 EUR/year (Project Manager) or 45,000-50,000 EUR/year (Senior Project Manager)

All Project Managers will have the following tasks and responsibilities, with responsibility level depending upon role (Project Manager or Senior Project Manager). The roles and tasks are not exhaustive and may change based on future projects and activities of the Organisation.

 

Tasks:

Project Planning & Delivery

  • Plan, manage, and deliver successful projects for clients, covering content development, report writing, budgeting, coordination, moderation, facilitation, and logistics for meetings.
  • Ensure that all projects are delivered on time, within budget, and meet client expectations and quality standards.
  • Support project initiation activities by aligning with the project team, finance team, communication team, and other relevant stakeholders and agencies. Includes resource planning.
  • Support project execution by tracking progress, identifying risks, and escalating issues when needed.
  • Assist in project closure activities, including tracking invoicing and payment schedules.

Impact Focus

  • Ensure projects create measurable and positive impacts for relevant patient communities.
  • Proactively assess and adjust strategies to maximise project outcomes.

Consultancy & Patient Engagement

  • Support the delivery of consultancy services in patient engagement, aligning strategies with client goals and patient needs.
  • Co-create, implement, and monitor patient engagement projects, ensuring both patient and client objectives are met.
  • Foster long-term relationships with clients by providing expert guidance and actionable insights.

Facilitation & Moderation

  • Moderate focus groups, workshops, and meetings, ensuring productive discussions and accurate documentation of participant input.
  • Ensure patient voices are clearly represented in all facilitated sessions.

Client Management & Acquisition

  • Develop, present, and pitch new projects to clients, showcasing organisational capabilities.
  • Maintain strong relationships with clients, ensuring satisfaction and retention.
  • Support project acquisition efforts by identifying new business opportunities.

Patient Community Engagement

  • Engage directly with patient communities to align engagement strategies with their needs.
  • Collaborate with patient advocacy groups to integrate their input into project plans and deliverables.

Project Monitoring & Reporting

  • Monitor and ensure that all projects adhere to timelines, milestones, and deadlines, providing regular updates to clients and internal teams.
  • Proactively follow up on open actions, tasks, and urgent priorities, ensuring that all deliverables are met.
  • Ensure tasks are properly assigned and followed up on, escalating issues when necessary.
  • Document lessons learned and suggest improvements for future projects.

Team & Client Communication

  • Oversee and ensure effective communication between clients, team members, suppliers, and consultants.
  • Report regularly on project progress to the team and clients, ensuring transparency and keeping them informed on key developments.
  • Assist in preparing and sharing interim progress reports and updates.

Meeting & Event Coordination

  • Plan and organise virtual and in-person project meetings, including venue selection, travel arrangements, logistics, technology, and materials, as required.
  • Ensure seamless execution of all meetings, with attention to detail and a focus on the needs of all participants.

External Partner Coordination

  • Coordinate, contract, and involve external partners, consultants, and suppliers as required.
  • Support relationship management with external parties to ensure smooth project delivery.

Financial & Budget Management

  • Prepare detailed project proposals and budgets, ensuring alignment with client expectations.
  • Track project progress, invoicing, and payments according to schedules.
  • Manage budgets to ensure projects are delivered within financial constraints.

Training & Development

  • Participate in professional development opportunities to enhance project management skills, understanding of patient engagement, and other topics related to the role.

Reporting Structure

  • Report regularly to senior management (Senior Project Manager, Project Director, and Head of Industry Services) on project progress, challenges, and achievements.
  • Provide feedback and recommendations for process and efficiency improvements.


Required experience and skills:

  • Minimum professional experience of 2 (Project Manager) or 6 years (Senior Project Manager) as a project manager or consultant.
  • Experience in delivering work on time and within budget.
  • Excellent organisational, communication and problem-solving skills.
  • Very advanced English (C2), written and spoken.
  • Professional skills in developing and holding PPT presentations.
  • High-level ability to use electronic office and online tools (Word, Excel, PowerPoint, SharePoint, Email, Telegram).
  • Ability to be pro-active, flexible, self-driven and work independently from home office and our Munich office (if needed), within tight deadlines.
  • Experience of collaborative working in a virtual environment (with a team distributed across Europe).
  • Commitment to patient-centred healthcare and the core values of patient-led organisations.
  • Availability to travel.

 

Desired experience and skills:

  • University degree or equivalent in related area.
  • Knowledge/experience in working with pharmaceutical companies, preferably in the field of patient engagement and patient advocacy.
  • Knowledge/experience in working either in the non-profit sector, in a health-related consultancy or in patient advocacy.
  • Knowledge of European healthcare system.
  • Knowledge of additional languages is a plus.

  • Full-time position (40h/week), giving the opportunity to progress and to integrate in a young, dynamic and multicultural team working from different European cities.
  • 6-month probation followed by permanent employment contract under German or Spanish law, depending on location.
